Excel will always have limitations on the amount of data it can store – the most recent version of Excel has a row limit of 1,047,576 rows with 16,384 columns. Whilst this volume of data is a limitation, we rarely see files which max out the row/column limit as other volume-based challenges are met before the hard cap on rows and columns is reached.

Whilst there is a cloud version of Excel, most commonly, Excel is worked on locally on the desktop-based application. Files with large volumes become cumbersome and can take a long time to simply open. Furthermore, performance degradation is common where some of the most basic formulas leave the user with unresponsive screens across their workstation whilst Excel consumes all the memory (RAM) it can to compute the formula.

Whilst other tools are often used alongside Excel for rudimentary reporting solutions, such as Excel + Power BI or Excel + Tableau, the volume-based issues with Excel persist. We typically find that powerful analytics needs a fair amount of data, typically more than Excel could ever handle. When we consider this alongside our other risks, it’s clear that Excel is not fit for purpose for large data storage solutions.

Risk 6: Auditing

Many data processes require auditing from a regulatory, compliance, or contractual perspective. Meeting the needs of certain information security policies (ISO27001, Cyber Essentials, SOC2, CSA STAR) is critical to many organisations, and the deep, proliferated use of Excel for ungoverned and uncontrolled processes will inhibit an organisation’s ability to provide any auditor with confidence that their data processes are legitimate and fit for purpose.

Excel-based data processes, or shadow processes, are not transparent. It is difficult to ascertain what data is being collected on a manual basis, and it’s hard to track changes and trace changes back to an individual.

The lack of traceability and security, alongside the other risks, makes it extremely difficult for Excel-based processes to adhere to the standards that many organisations must uphold for data processing and storage.

Despite these challenges, Excel is not without its merits.

A tactical solution is typically short term and has a specific purpose, looking to solve an immediate problem whilst the longer term, strategic solution is being designed and built. Using Excel for tactical solutions allows users to take advantage of the agility of Excel, often helping them to determine the requirements they have of a strategic solution. The ability to fail fast with Excel accommodates the early stages of a data-led initiative where requirements are often emergent and changing, based on what is discovered in the early phases of a project.

In fact, sometimes a tactical solution, built with Excel at its core, is sufficient for a business. However, it remains important that all organisations (regardless of size and stature) take account of the six key risks outlined in this article and take steps to minimise and address these.
